What is the team calendar?

The team calendar is a visual interface that displays all scheduled shifts, employee assignments, and availability in an easy-to-read calendar format. It provides a comprehensive overview of your team’s schedule and helps coordinate work assignments.

How do I access the team calendar?

You can access the team calendar from several locations:

  • Main Dashboard - Click the “Team Calendar” widget
  • Navigation Menu - Go to Schedules → Team Calendar
  • Mobile App - Tap the “Calendar” tab
  • Quick Links - Use the calendar shortcut in the top navigation

What calendar views are available?

The team calendar offers multiple viewing options:

Time-based views:

  • Day View - Detailed view of a single day’s shifts
  • Week View - 7-day overview with shift details
  • Month View - High-level monthly schedule overview
  • Agenda View - List format showing upcoming shifts

Team-based views:

  • My Schedule - Only your assigned shifts
  • Team Schedule - Your immediate team’s shifts
  • Department Schedule - All shifts in your department
  • Location Schedule - All shifts at your work location

How do I navigate between different dates?

Navigation is simple and intuitive:

  • Arrow buttons - Click left/right arrows to move between periods
  • Date picker - Click the date header to jump to any specific date
  • Today button - Quickly return to the current date
  • Keyboard shortcuts - Use arrow keys for quick navigation
  • Month/year dropdowns - Jump to distant dates quickly

What information is shown for each shift?

Each shift displays key information:

  • Time range - Start and end times
  • Employee names - Who is assigned to work
  • Location - Where the shift takes place
  • Shift status - Published, draft, needs coverage, etc.
  • Color coding - Visual indicators for different shift types
  • Icons - Quick visual cues for special requirements

Click on any shift for detailed information and options.

Can I filter what shows on the calendar?

Yes! The calendar includes powerful filtering options:

Filter by:

  • Employee - Show only specific team members
  • Location - Display shifts for particular work sites
  • Department - Focus on specific departments or teams
  • Shift status - Show only published, draft, or open shifts
  • Date range - Limit display to specific time periods

Quick filters:

  • My shifts only - See just your assignments
  • Open shifts - View available shifts you can claim
  • Conflicts - Highlight scheduling conflicts
  • Overtime - Show shifts that may result in overtime

How do I interact with shifts on the calendar?

The calendar is interactive and allows various actions:

Click on a shift to:

  • View detailed shift information
  • Request to be assigned (for open shifts)
  • Request a shift swap with coworkers
  • Add notes or comments
  • Report issues or conflicts

Drag and drop (managers only):

  • Move shifts to different times
  • Reassign shifts to different employees
  • Extend or shorten shift durations
